Job Title: Administration Officer

Location: Port Harcourt, Nigeria.

Employment Type: Full-time

Salary: Commensurate with experience and education, with excellent benefits.

Job Summary: The Administration Officer will coordinate and optimize all administrative operations, ensuring the office functions smoothly and efficiently in support of Kebetkache’s mission. This role also supports HR processes—such as recruitment logistics, onboarding, and staff leave tracking—and upholds health, safety, and security protocols. The Administration Officer will support all departments to focus on program delivery and organizational objectives.


Responsibilities:

  • Ensure the maintenance of office facilities, liaising, IT support, and service providers for repairs and upgrades.

  • Maintain filing systems (electronic and hard copy) for HR, finance, and program documents; ensure confidentiality.

  • Support the development and updating of organizational policies and other operating procedures.

  • Arrange domestic and international travel for staff: bookings, visa support, itineraries, and per diem advances.

  • Coordinate meeting room bookings, refreshments, and logistical arrangements.

  • Ensure compliance with Kebetkache’s health and safety policies; conduct periodic safety drills.

  • Track staff leave, attendance, and staff welfare matters; escalate issues to HR manager. 

  • Carry out any other assigned tasks.


Qualifications and Experience:

·       Bachelor’s degree in Business Administration, Public Administration, or a related field.

·       2–4 years’ experience in administration or office management, preferably in an NGO or development context.

·       Familiarity with office management systems and procedures.


Skills & Competencies:

  • Excellent organizational and multitasking abilities.

  • Proficient in MS Office suite (Word, Excel, PowerPoint) and basic office equipment.

  • Strong communication skills and a customer-service mindset.

  • Ability to work independently, prioritize tasks, and meet deadlines.

  • Discretion, tact, and confidentiality when handling sensitive information.
